How to make your exhibition budget work harder

Exhibitions aren’t cheap. Once you’ve paid for the stand space, there’s still the stand itself, graphics, flooring, furniture, lighting, AV, transport, installation, and usually a few things you hadn’t thought about when the budget was first signed off!

So, making your exhibition budget work harder isn’t necessarily about spending less.

It’s about spending in the right places, and thinking beyond the few days your stand is actually at the event.

Because if you’re attending several exhibitions throughout the year, there are plenty of ways to get more from what you’re already investing.

Don’t start from scratch every time

If you’ve got five exhibitions in the calendar, treating them as five completely separate projects can mean paying for new stand elements five separate times.

Sometimes that’s necessary. Often, it isn’t.

A modular or shell scheme exhibition stand can be designed with future events in mind, so you can reconfigure the framework and graphics for different stand sizes and layouts.

One month you might have a larger space. The next event might be a smaller shell scheme. The stand doesn’t necessarily have to look identical at both, but there may be plenty you can reuse and adapt.

Thinking about your wider event calendar at the start can make a big difference to your overall exhibition costs.

Spend more on the things you can reuse

Not everything on an exhibition stand has to be single use. Graphics are a good example.

If your messaging isn’t tied to one particular event or date, you can store reusable exhibition graphics and use them again at future shows.

That doesn’t mean every stand has to look exactly the same for the next three years.

You can create core branded graphics that do the heavy lifting, then change smaller sections or messaging when you need something specific for a particular audience.

You’re still keeping the stand fresh and relevant; you’re just not paying to reproduce everything every time you exhibit.

Know where it’s worth spending

When you’re working with a fixed exhibition stand budget, it can be tempting to spread it evenly across everything, but not every part of the stand needs the same level of investment.

Think about what visitors are actually going to notice and what will make a difference to their experience.

Strong exhibition graphics might be more valuable than filling the stand with furniture. Good lighting can completely change how those graphics look. A screen showing a useful product demonstration might work much harder than another printed panel.

Equally, if nobody is going to interact with a touchscreen, you probably don’t need one just because it looks impressive.

There are lots of exhibition stand ideas out there. You don’t have to use all of them.

Make the space you’ve booked work harder too

A bigger stand isn’t automatically a better stand. If you’ve booked a relatively small shell scheme, you can still do a lot with it.

Full wall graphics, better flooring, lighting, a screen and carefully chosen furniture can transform a fairly standard space without the cost of a completely bespoke build.

It’s about looking at what you’ve already paid for and asking: how can we make more of this?

Sometimes a few well-chosen exhibition stand enhancements can make a much bigger difference than adding more space or more stuff.

Think about the whole calendar, not just the next show

When the next exhibition is looming, naturally that’s the one you’re thinking about.

But if you already know there are three or four other events coming later in the year, tell us about those too.

We can look at the bigger picture and design your stand with those future events in mind, finding ways to reuse and adapt elements wherever it makes sense.

Suddenly, you’re not just asking, “What can we do for this event?” You’re asking, “What can we invest in now that will keep working for us?”

That’s a much better way to approach exhibition budget planning.

Make every element earn its place

Movement is one of the best ways to catch attention in a busy exhibition hall, which is why we’re big fans of using screens on a stand.

A well-positioned TV can bring the space to life, draw people in and give you another way to show what your business does without trying to fit everything onto the graphics.

But think about what’s going on that screen too.

Product videos, animation, demonstrations or strong visual content can all work brilliantly. Even simple movement can help your stand catch the eye as people walk past.

The same goes for everything else you add to the stand. Furniture, refreshments, storage and interactive elements should all have a reason for being there.

It’s not about adding less. It’s about making sure everything you’re spending your exhibition budget on is doing something useful.

Remember the costs you can’t see

The stand itself tends to get most of the attention when budgets are being discussed. But there are other costs to think about too.

Transport, installation, dismantling, storage, organiser charges, electrics, and last-minute changes can all end up on the final bill.

And last-minute usually costs more.

Getting the practical side sorted early gives you a clearer idea of your overall exhibition costs, rather than using the entire budget on the visible parts of the stand and discovering later that there’s another list of things still to pay for.

Reuse doesn’t have to mean repetitive

One concern we sometimes hear around reusable stands is that brands don’t want to turn up to every exhibition looking exactly the same.

The footprint can change. Graphics can be switched. Screens, furniture and lighting can move around. You can add something extra for a bigger event or simplify things when you have a smaller space.

The core investment keeps working, but the finished stand can still suit the individual event.

Get more from what you’re already spending

A harder-working exhibition budget isn’t about cutting everything back to the bare minimum.

It’s about knowing where your money will have the most impact and where you can avoid paying for the same thing twice.

At Rocket, we can look beyond one stand and help you think about the bigger picture. From modular exhibition stands and reusable exhibition graphics for shell scheme, to flooring, furniture, lighting, AV, installation and storage.

So if you’ve got one exhibition coming up, or a whole calendar full of them, we can help you work out where it’s worth investing, what can be reused and how to get more from the budget you already have.
